Importance of a KM Strategy

Why do I need a knowledge management strategy? Why can’t I just implement some technology and be done with it? Why can’t I just implement Communities of Practice or Lessons Learned and be done with it?

I hear this sometimes from managers who want a quick fix, who are under a lot of pressure from time and resources (money and people).

The answer is, you can. I have worked with many organizations that have done just that, jumped in with both feet and “just done something”. I am usually there to fix it. Fix the technology because no one understood what it really needed to do to support knowledge work within the organization; fix the process because no one understands it and it’s not aligned with the rest of the activities in the organization and it’s created extra work for already over-worked staff.

Why do you need a strategy?

Would you jump in the car and set out on a journey of 5000km/3000miles without having some idea of where you were going and how you going to get there? Making sure that you had selected the right vehicle to get you there in time and a map to help direct you along the way?

A KM strategy does just that. It helps you figure out where you’re going, and the things you need to do along the way, the processes you need to support you and that need to be supported.

That’s not to say that you won’t make adjustments along the way, just like a friend of mine who drove from Toronto to Vancouver in September 2015, who ended up “detouring” through the United States, so that she could see some different sites, but she still knew where she was going and when she had to be there by—she made it with time to spare.

Isn’t that what you want from your KM strategy? To know where you’re going and how you want to get there, to meet the goals and objectives of the organization?

Why would you put a toaster over in the car for your trip, when you really needed a camp stove?

Why would you choose one technology because “everyone else is” when another technology is cheaper and better meets the needs of the organization because it requires less customization than the more popular software?

Isn’t it time you created (or updated) your KM strategy?

Topics and Trends from KM World 2012

I attended KM World 2012 in Washington, DC last month, for the first time since 2006 (when it was still in San Jose, California). Let me first just say that I enjoyed the new location very much, not just because it’s a much shorter flight for me, but it seemed more intimate–easier to meet and talk to people and find my way around. I did miss being able to visit all my friends in the Bay Area, but I will get out there again.

Okay, so on to what I learned and observed at KM World 2012…

I think one of the big things I observed was a shift away from all the talk of technology, don’t get me wrong, people still talked tech, but I found less of an emphasis on it this year and much more emphasis on the value of the network, i.e. the people-to-people connections. Certainly any of us who have been doing KM for a while know that this is the case, that technology just enables and supports the activities of the network, but for most of the last 15-20 years we have had to fight against the idea that technology was the silver bullet in KM, that if an organization implemented the right technology they would find a pot of gold at the end of the rainbow.

  • Mobility and Internal Social Media
  • Internal Communications (consistent and repetitive communications via multimedia channels)
  • Strategic Alignment (km must always align with the business strategy of the organization to be successful)
  • Measurement and Value (everyone is measuring trying to determine value, but everyone is also still measuring things differently, but that’s OK.)
  • The importance of
    • Governance
    • Serendipity
    • Complexity/interconnectedness of KM
  • The DIKW pyramid is dead. Or is it?
  • Don’t fall prey to echo chambers in your organization
  • People’s knowledge goes beyond their job description which is untapped capital
  • The power of influence by friendship through peer networks is real
  • Seek forgiveness, instead of permission
  • Ask yourself daily what your km clients would answer to the question, “What’s in it for me?”

What are the challenges of selling software for knowledge management?

I am writing this because I was recently asked by a KM technology vendor how they could be more successful with their platform and I thought the response would make a good, quick blog post.

My answer was that it is difficult to sell knowledge management technology because the platform, unlike other technology platforms, has to appeal to users so it has to be well organized and designed and consider functionality and usability issues; and it has to appeal to IT departments, so integration with other applications, cost, installation, support, and maintenance are prime considerations.

Why do I say that unlike other platforms it has to appeal to users and IT? Because unlike other platforms people will generally find a way around using KM technology if they can–they’ll use email, or shared drives, or just won’t share their knowledge and expertise. If it’s an accounting system, they have to use it, if it’s a time tracking system they have to use it, so bad user interface designs and functionality survive because users have to use those systems to get their jobs done. All too often KM is viewed as a “nice to have” not a “must have” and the challenges of picking the best technology to support it are ignored, in favour of “this one’s cheaper” or “this is from a vendor we already have a relationship with” or some other such cop-out.

So what do you do in this situation? Customize the pitch depending on who you’re talking to.

LawTech Camp, KM Technology discussion

A few weeks ago, I participated in LawTech Camp in Toronto. Connie Crosby and I were launching our beta-test for our Law Firm KM assessment tool, so we had an opportunity to do a demo presentation and talk about KM, I’ve posted the slides on SlideShare, click on the <demo presentation> or <about KM> links to see the slides.

Knowledge Management Training and Technology

This past week I attended the CKM training in Toronto, hosted by the Knowledge Management Institute and Knowledge Management Institute Canada. I attended, not because I felt I needed training (although I don’t have enough ego to think that I know it all, I have been doing KM for 12+ years, and certainly know a lot) but because I was curious to hear about their model and their approach. KMI has trained over 4,000 people worldwide over the last 10 years so they are onto something.

Just to backtrack for a minute, I come to KM from a technology perspective, because that is how I first came to KM. The processes and people part of KM are absolutely necessary and critical, and are the hardest part of KM, but technology enables it all, and poorly designed and implemented KM technology is the death knell for KM in a lot of organizations.

Okay, so back to my training. I did training with APQC when I was first getting going with KM when I was at Hewlett Packard, it was what was available to me at the time. It talked about the phases of KM implementation and how to mature KM in the organization, something I still use/refer to in my work. KMI’s CKM training provides a much more comprehensive model for KM, it introduces a lot of concepts and ideas about KM that I have learned over my 12 years of doing it. But because KM as a discipline is based on the experiences of its practitioners, and isn’t mature enough to have standardized/coalesced its terminology I was frustrated with the descriptions by times.

As much as I enjoyed the course, meeting everyone, and hearing the experiences and challenges that they all face and have faced, I tired of KM technology being the great evil of KM and that is something that needs to be addressed going forward. I have no hesitancy in recommending the course to people just starting out in KM, it’s a great start. However as technology ever embeds itself in our lives (work-wise and otherwise) understanding how KM technology can enable KM activities is critical.

The poor implementation of KM technology is the reason why KM has a bad name in the minds of many, but it is a necessary component of the KM puzzle, ignoring it does not change this. The sooner KM practitioners understand this, the sooner it will get better.

Alas, I think I am a lone voice in the wilderness on this one.
